This is a fully remote position, open to applicants in United States.
• Manage the complete payroll process for approximately 300 employees across around 30 states (both exempt and non-exempt) in Rippling, ensuring precision in onboarding, variable compensation (commissions/bonuses), and offboarding.
• Oversee payroll accounting, which includes creating payroll journal entries in NetSuite and addressing discrepancies between payroll and the general ledger.
• Conduct monthly, quarterly, and year-end reconciliations for payroll accounts, covering wages, taxes, benefits, 401(k), and other payroll liabilities and expenses.
• Assist in month-end and quarter-end closures by preparing payroll accruals (for bonuses, commissions, PTO, payroll taxes) and performing related variance analyses.
• Reconcile payroll tax filings with the general ledger, resolve tax notices and discrepancies, and ensure adherence to federal, state, and local wage-and-hour laws, payroll tax responsibilities, and year-end filings like W-2s and 1099s.
• Develop, document, and uphold comprehensive payroll processes and internal controls, including segregation of duties for preparers and reviewers, to facilitate scalable operations.
• Register the organization with state agencies for employment purposes and act as a liaison for audits and inquiries from tax agencies, unemployment offices, and 401(k) administrators.
• Prepare payroll schedules and relevant documentation for external audits, including year-end financial statement and 401(k) audits.
• Act as the primary contact for payroll inquiries and issue resolution for employees and managers.
• Identify and implement strategies to automate, streamline, and enhance payroll and payroll-accounting processes.
• A minimum of 5 years of payroll experience.
• Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field, or equivalent experience.
• Strong understanding of U.S. GAAP, payroll tax regulations (federal, state, and local), and compliance with multi-state payroll requirements.
• Practical experience with HRIS/payroll processing systems and accounting/ERP systems such as NetSuite.
• Excellent reconciliation skills with a proven ability to investigate variances, identify root causes, and implement sustainable solutions.
• Advanced skills in Excel/Google Sheets and comfort with handling large datasets from multiple sources.
• Outstanding attention to detail and a strong commitment to confidentiality when managing sensitive employee, compensation, and financial information.
• Strong verbal and written communication abilities, and an excellent collaborator with employees, managers, auditors, and external partners.
