This is a fully remote position, open to applicants in United States.
• Respond promptly and professionally to both inbound calls and digital inquiries from potential patients seeking fertility services, exhibiting compassion throughout the interaction.
• Deliver precise and comprehensive information concerning fertility services, scheduling procedures, and subsequent steps, all while addressing patient inquiries with sensitivity and empathy.
• Accurately schedule new patient consultations in alignment with provider availability, patient requirements, and established protocols.
• Act as a reliable guide for patients during their initial engagement, understanding that many callers may be navigating emotional distress or uncertainty.
• Collaborate with clinical teams, practice staff, and leadership to facilitate a seamless transition from the first contact to scheduled care, especially in cases involving unique circumstances or complex needs.
• Meticulously document all patient interactions, relevant details, and scheduling outcomes in the designated systems to ensure continuity of care and data integrity.
• Generate reports and oversee workflows for specialized patient populations, including oncology patients and partner-program participants benefiting from enhanced services.
• Uphold compliance with HIPAA regulations, patient privacy standards, and all organizational policies and procedures.
• Engage in quality assurance initiatives, training, and coaching to continually enhance patient experience, communication proficiency, and operational accuracy.
• Conduct timely and appropriate follow-ups with patients as necessary to facilitate access to care and ensure completion of scheduling.
• Preferred educational qualifications include an associate or bachelor’s degree.
• A minimum of 3 to 5 years of experience in customer service, patient access, call center, or healthcare-related positions is required.
• Proven ability to communicate with empathy, professionalism, and clarity—particularly in sensitive or emotional contexts.
• Strong active listening skills and the capacity to convey information in a clear, supportive, and patient-centered manner.
• Exceptional verbal and written communication skills.
• Keen attention to detail with the ability to accurately document information across multiple systems.
• Capability to work autonomously while effectively collaborating within a team environment.
• Experience in healthcare, patient scheduling, or fertility services is highly preferred.
• Bilingual skills are advantageous.
