This is a fully remote position, open to applicants in United States.
• Oversee the initiation of participant recruitment activities for newly awarded clinical trials.
• Create and manage recruitment project timelines from the point of study award to campaign launch.
• Ensure that marketing deliverables are finalized prior to study activation.
• Monitor study readiness milestones and identify potential project risks or delays.
• Coordinate activities between Central Recruitment, Site Operations, Regulatory, Sponsors/CROs, Finance, and Business Development.
• Maintain documentation related to study launches and project status reports.
• Prioritize multiple concurrent study launches and facilitate start-up meetings.
• Review recruitment budgets approved by sponsors and the allocated marketing contracts.
• Develop recruitment budgets specific to each study and manage marketing budgets funded by sponsors.
• Track spending, forecast expenditures, optimize marketing investments, and prepare budget summaries.
• Handle purchase requests, POs, invoices, vendor payments, reconciliation, and reporting.
• Monitor enrollment performance and prepare justifications and requests for supplemental funding.
• Act as the primary operational contact for participant recruitment activities with sponsors and CROs.
• Coordinate the review and approval of recruitment strategies and materials by sponsors.
• Prepare updates on recruitment for sponsors and budget reports.
• Compile recruitment material packages for IRB/EC and sponsor submissions.
• Track approvals, amendments, and expiration dates while ensuring regulatory documentation and version control are maintained.
• Manage vendors for creative, print, digital advertising, translation, promotional products, and community outreach.
• Coordinate the production, approval, and distribution of marketing materials aimed at participants.
• Maintain reports on timelines, campaign status, budget utilization, funding requests, vendor performance, approvals, marketing ROI, and operational metrics.
• Provide leadership with updates on project status, risks, and recruitment readiness.
• 2–5 years of experience in project coordination, marketing operations, clinical research, or healthcare administration.
• Preferred experience with study start-up, sponsor budgets, and vendor management.
• Bachelor’s degree in Marketing, Business Administration, Healthcare Administration, Communications, Clinical Research, or a related field is preferred.
