Part-Time Virtual Assistant

This is a fully remote position, open to applicants in Colombia.

📋 Description

• Oversee and manage the email inbox, identifying and responding to standard communications.

• Follow up with clients regarding outstanding balances, unsigned agreements, and pending tasks.

• Coordinate and track contracts, including follow-ups for retreats, teacher training sessions, and studio programs.

• Organize and manage giveaway campaigns and promotional outreach (e.g., coordinating with partner organizations on Instagram or other platforms to verify class pass usage).

• Assist in client follow-up utilizing studio management software (MindBody, LoyalSnap, FitGrid) after receiving training.

• Aid the sales director with warm outreach to current clients, including text and email follow-up sequences.

• Dispatch newsletters and email campaigns to existing client databases using email platforms (MailChimp, ConvertKit, or similar).

• Publish content on social media platforms as instructed (content creation or graphic design is not required).

• Assist in membership retention outreach, including communication with members on auto-renewal.

• Help with scheduling, calendar management, and general administrative duties across various business units.

• Contribute to documenting processes and developing SOPs over time.


⛳️ Requirements

• Excellent English communication abilities, both written and verbal.

• Highly organized, detail-oriented, and capable of juggling multiple tasks across different business sectors.

• Comfortable working autonomously with minimal oversight.

• Takes complete ownership of responsibilities and sees them through to completion without needing reminders.

• Tech-savvy and quick to adapt to new tools and software.

• Experience with email marketing platforms (MailChimp, ConvertKit, or similar) and fundamental social media coordination.

• Proficient in client outreach and follow-up across email, text, and social media channels.

• Able to manage sensitive client information with professionalism and discretion.

• Bilingual in English and Spanish preferred.
