This is a fully remote position, open to applicants in Philippines.
• Confirm patient appointments through text, email, and various communication channels.
• Follow up on any missed appointment confirmations.
• Distribute telemedicine appointment reminders and provide necessary instructions.
• Ensure that schedules are well-organized and ready for appointments.
• Assist in maintaining an efficient workflow for patients in a fast-paced healthcare setting.
• Verify that all necessary patient intake forms and consent documents are completed prior to appointments.
• Track any incomplete patient requirements and follow up as needed.
• Ensure all essential documentation is finalized before scheduled visits.
• Maintain precise patient records and documentation.
• Confirm that required blood work and laboratory results are completed ahead of appointments.
• Upload, organize, and manage lab results within the Cerbo EMR system.
• Monitor patient records to guarantee that providers have the information necessary for appointments.
• Track outstanding laboratory requirements and manage follow-ups accordingly.
• Assist with prior authorization requests and related follow-up activities.
• Provide pricing information and practice details to both prospective and existing patients.
• Offer day-to-day administrative support to the provider and office manager.
• Communicate professionally with patients regarding appointment preparation and healthcare needs.
• Contribute to overall clinic operations and initiatives aimed at enhancing patient experience.
• Demonstrated experience in healthcare administration, medical virtual assistance, or a comparable healthcare support position.
• Familiarity with EMR systems (Cerbo EMR experience is highly desirable).
• Strong knowledge of patient scheduling, appointment preparation, and medical administrative workflows.
• Exceptional attention to detail, especially in tracking patient forms, laboratory results, and appointment readiness.
• Strong organizational capabilities to manage multiple priorities at once.
• Ability to work independently with minimal oversight.
• A reliable, professional, and accountable work ethic.
• Excellent written and verbal communication skills in English.
• Comfortable operating in a fast-paced healthcare environment.
• Experience in handling patient communications with professionalism and empathy.
• A HIPAA-compliant mindset and dedication to maintaining patient confidentiality.
• Strong follow-up abilities and a proactive approach to identifying potential issues before they impact patient care.
• Preferred Qualifications:
• Experience utilizing Weave or similar healthcare communication platforms.
• Knowledge of Functional Medicine, Integrative Medicine, Holistic Health, or Wellness practices.
• Prior experience supporting telemedicine providers or virtual healthcare practices.
• Basic requirements:
• Must be proficient in clearly speaking and writing in English.
• Must possess relevant work experience.
• Ability to provide an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory].
• Must be available for video meetings with the camera on (when required).
