Part-time Executive Assistant, Traffic Coordinator

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Executive Liaison: Oversee and prioritize executive email correspondence, manage calendars, organize meetings, arrange travel, and offer administrative assistance.

• Traffic Coordination: Serve as a traffic coordinator, overseeing project flow among the executive, creative team, and external service providers.

• Project Briefing: Collect comprehensive project briefs and clarify requirements with stakeholders prior to briefing suppliers.

• Financial Administration: Acquire and secure quotes from service providers, create initial cost estimates, and aid in project budget monitoring.

• Documentation & Reporting: Assist in preparing reports, presentations, and maintain well-organized records of briefs, quotes, and project documentation.

• Schedule Management: Coordinate timelines to ensure marketing deliverables are met on time, providing routine project updates and progress reports.

• Operational Efficiency: Work closely with the executive to enhance operational efficiency and minimize administrative bottlenecks.


⛳️ Requirements

• Proven Experience: Background as an Executive Assistant, Virtual Assistant, or Project/Traffic Coordinator, preferably in marketing, communications, or an advertising agency setting.

• Organisational Skills: Strong project management skills with the capability to handle multiple projects at once.

• Communication: Exceptional written and verbal communication abilities.

• Proactive Approach: Capacity to work independently and proactively determine tasks and priorities.

• Supplier Management: Experience in obtaining quotes and coordinating with external suppliers or service providers.

• Technical Skills: Strong administrative and reporting skills; proficient in Microsoft Office and presentation creation.

• Detail-Oriented: Exceptional attention to detail, with the ability to work swiftly and accurately.

• Financial Experience: Experience in financial administration, including cost management and budget tracking, is a plus.
