This is a fully remote position, open to applicants in Philippines.
• Overseeing Greg's calendar, tasks, and project timelines to ensure progress is maintained.
• Managing email correspondence and routine administrative duties.
• Updating client information in HubSpot and entering data into QuickBooks.
• Ensuring Greg adheres to deadlines, deliverables, and commitments.
• Conducting structured follow-up check-ins with clients at the 3, 6, and 12-month intervals post-project completion.
• Preparing and distributing Project Books to clients once a project concludes.
• Managing client communications regarding project updates to ensure that no commitments are made without prior calendar verification.
• Drafting and sending professional proposals to clients and prospects.
• Issuing invoices and following up on pending proposals.
• Overseeing leads and contacts within HubSpot (CRM).
• Experience with HubSpot and QuickBooks is essential.
• Proficient in Outlook and the Microsoft Office suite.
• Highly organized with a robust background in project management.
• Exceptional written communication skills — capable of crafting polished proposals and conversing in the language of engineering or construction.
• Previous experience or knowledge of the engineering or construction sectors is a significant advantage.
• Self-motivated and dependable — requires minimal supervision and reminders.
• Proactive communicator who keeps both clients and Greg informed without needing prompts.
