Part-Time Admin/Marketing Virtual Assistant

This is a fully remote position, open to applicants in Colombia.

📋 Description

• Oversee and manage the email inbox, flagging important messages and responding to standard communications.

• Follow up with clients regarding unpaid invoices, unsigned agreements, and outstanding actions.

• Handle contract tracking and coordination, including follow-ups for retreats, teacher training sessions, and studio programs.

• Coordinate and track giveaway campaigns and promotional outreach (e.g., engaging with partner organizations on Instagram or other platforms to verify class pass usage).

• Assist with client follow-up via studio management software (MindBody, LoyalSnap, FitGrid) after receiving training.

• Support the sales director with warm outreach efforts to existing clients, including text and email follow-up sequences.

• Dispatch newsletters and email campaigns to current client lists using email marketing platforms (MailChimp, ConvertKit, or similar).

• Post content on social media platforms as instructed (no content creation or graphic design is required).

• Aid in membership retention efforts, including communication with auto-renewal members.

• Assist with scheduling, calendar management, and general administrative duties across various business units.

• Help document processes and develop Standard Operating Procedures (SOPs) over time.


⛳️ Requirements

• Excellent English communication skills, both written and verbal.

• Highly organized, detail-oriented, and capable of managing multiple tasks across different business areas.

• Comfortable working autonomously with minimal supervision.

• Takes full responsibility for tasks and sees them through to completion without needing reminders.

• Tech-savvy and quick to adapt to new tools and software.

• Experience with email marketing platforms (MailChimp, ConvertKit, or similar) and basic social media coordination.

• Proficient in client outreach and follow-up via email, text, and social media channels.

• Capable of handling sensitive client information with professionalism and discretion.

• Bilingual in English and Spanish is preferred.

• Previous experience supporting boutique fitness, wellness, or service-oriented businesses.

• Familiarity with MindBody, LoyalSnap, or FitGrid.

• Experience in Airbnb operations or property management support.
