Order Management Specialist – Imaging

This is a fully remote position, open to applicants in United States.

📋 Description

• Strategically plan and actively support the fulfillment of purchase contracts from Order Entry to Cash Collection.

• Establish and sustain communication with field locations, headquarters, and other stakeholders to ensure prompt order management.

• Supervise order entry processes, which include reviewing quotations, validating pricing, and verifying contract documentation.

• Maintain the quality of the order backlog and track compliance with contractual requirements.

• Collaborate with shared service teams on Change Order Management processes.

• Monitor and report contract and order modifications to OTR leadership and regional teams.

• Enhance sales transfer processes.

• Assist in resolving Accounts Receivable cash collection issues and disputes.

• Promote continuous process improvements and contribute to Lean and 6-Sigma initiatives.

• Confirm delivery dates requested by customers and manage backlog effectively.

• Own and update critical dates utilizing operating mechanisms and reports.

• Provide shipping and billing instructions in accordance with contract terms and conditions.

⛳️ Requirements

• Bachelor’s degree is preferred, or an Associate’s degree with 5 years of experience, or a High School Diploma with 15 years of experience.

• Capability to thrive in a fast-paced environment.

• Proficiency in prioritizing tasks and multitasking effectively.

• Strong critical thinking abilities and excellent communication skills.

• Basic accounting knowledge and a keen attention to detail.

• Current or prior experience in project management, customer relations, or order management.

• Previous experience supporting a Sales or Service team is required.

• Ability to build relationships with colleagues in remote locations.

• Willingness to work extended hours and weekends during peak times.

• Must be legally authorized to work in the United States.
