This is a fully remote position, open to applicants in United States.
• Oversee and maintain project documentation, including site plans, electrical collection cable layouts, access road drawings, and other engineering materials.
• Support site leadership with administrative tasks related to pre-construction activities and project initiation.
• Ensure that project records are systematically organized and easily accessible.
• Foster clear and consistent communication with site leadership and project teams.
• Engage in Plan of the Day (POD) and End of the Day (EOD) meetings as needed.
• Effectively relay project updates, workforce information, and administrative requirements.
• Accurately process weekly employee timecards and submit them to Payroll by established deadlines.
• Verify employee work hours, per diem eligibility, meal reimbursements, and task coding.
• Prepare and distribute weekly reports on manpower and labor hours.
• Maintain accountability records for office equipment and site assets.
• Upload and manage project documentation within the Procore platform.
• Update construction activity trackers on a daily basis.
• Monitor and track employee training compliance using LMS and Power BI reporting tools.
• Track requirements for the Registered Apprenticeship Program (RAP) as applicable to the project scope.
• Coordinate travel arrangements through approved company platforms.
• Assist in scheduling employee training sessions, certifications, and onboarding activities.
• High school diploma or equivalent qualification.
• A minimum of 2 years of experience in administrative roles, construction administration, project coordination, or related fields.
• Strong expertise in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
• Exceptional organizational and time management abilities.
• Capability to handle multiple priorities and meet deadlines effectively.
• Outstanding written and verbal communication skills.
• Ability to work independently as well as collaboratively within a team.
• Experience in supporting construction, renewable energy, industrial, or field service projects.
• Familiarity with Procore, Power BI, D365, or Learning Management Systems (LMS).
• Knowledge of payroll processing, workforce tracking, and cost center management.
• Experience in supporting multi-site or remote project teams.
