This is a fully remote position, open to applicants in Philippines.
• Organize customer appointments and coordinate installation schedules with on-site teams.
• Ensure accurate data management within Pipedrive CRM and quoting software.
• Communicate with installers and internal personnel through Slack, Close, and WhatsApp to facilitate seamless operations.
• Oversee stock management, ensuring all materials are available on-site before scheduled installations.
• Keep Google Calendar and project management tools up-to-date.
• Provide support to the business owner with daily operational tasks and communications.
• Inform relevant stakeholders of any changes, updates, or adjustments to schedules.
• Assist with general administrative duties and process management using Notion and Google Sheets.
• Demonstrated experience in operations, administration, or executive assistant roles, preferably in fast-paced or trade/service industries.
• Strong expertise in Pipedrive, Slack, Close, Calendly, Zapier, Notion, Google Sheets, Google Calendar, and WhatsApp.
• Exceptional English communication skills, both written and verbal; comfortable in client-facing situations.
• Highly organized with a keen eye for detail, particularly concerning data accuracy.
• Ability to work independently and manage multiple priorities at once.
• Resilient under pressure and able to adapt swiftly in a dynamic environment.
• Availability during AEST business hours (approximately 8 AM – 4 PM), with potential for early starts.
