This is a fully remote position, open to applicants in United States.

📋 Description

• Grants Administration: Guide grants through the entire process including handoff, communication with grantees, due diligence, contracts, signatures, payments, and necessary reporting.

• Maintain accurate and timely grant records within the grants database.

• Provide guidance to Research regarding grant logistics and expectations from grantees.

• Develop and enhance grant administration systems utilizing Salesforce, Asana, and Ironclad, focusing on automation and operational efficiency.

• Collaborate with teams in Research Operations, Finance, Legal, and Outreach.

• People Operations: Assist with onboarding, offboarding, performance evaluations, feedback initiatives, HR inquiries, payroll, benefits, COBRA, enrollment, leaves, tax compliance, reporting, immigration, visas, international employment, global mobility, EOR management, policies, procedures, and self-service tools.

• Talent Acquisition: Facilitate the full cycle of recruitment including applicant reviews, screening calls, work trials, interview logistics, offers, candidate sourcing, recruiting documentation, reports, SOPs, hiring-round logistics, work-trial honorariums, and inquiries via the careers inbox.

• Technology: Aid in IT onboarding and offboarding, manage software licenses and vendor accounts, troubleshoot tech issues, train staff, and enhance the technological infrastructure.

• AI Enablement: Develop AI enablement resources, identify AI tools, evaluate their utility, and assist in their safe and effective configuration and deployment.

• Office of the CEO: Assist with scheduling, event coordination, note-taking, managing the rolodex, handling expenses, administrative and project tasks, communications, presentations, strategy documents, memos, and potentially AI initiatives.

• Office of the COO: Serve as a proxy for the COO, facilitating communications and networking, managing information flow and prioritization, preparing for and following up on meetings, handling occasional scheduling, and leading cross-Operations initiatives.

• Complete application work samples, interviews, work trials, and reference checks as part of the hiring process.


⛳️ Requirements

• Operations experience is preferred; domain-specific experience or a demonstrated alignment with GiveWell is a plus.

• Candidates may be at the early stages of their careers, including recent graduates.

• Demonstrated ownership and problem-solving abilities that extend beyond merely fulfilling assigned duties.

• Excellent written and verbal communication skills across platforms such as Zoom, Slack, email, and memos.

• Sound judgment and systematic reasoning in addressing unfamiliar challenges.

• Willingness to accept direct feedback and a desire to develop new skills.

• A service-oriented mindset and the ability to collaborate effectively with supported teams.

• Ability to adapt to changing priorities and navigate unfamiliar systems, tools, and technologies.

• Curiosity and readiness to utilize AI and other beneficial technologies.

• Motivation driven by GiveWell’s mission and alignment with its core values.

• For the Chief of Staff to the COO role, a preference for in-person work in Oakland 1–2 days per week is indicated, though not mandatory.

• Willingness to engage in occasional travel, including Visit Weeks and departmental retreats.
