This is a fully remote position, open to applicants in Germany.
• Assist with talent operations and enhance the employee experience, ensuring a seamless journey from onboarding and collaborating closely with our people lead.
• Organize and implement Office Days, mainly in Berlin, as well as virtual and in-person company events, investor meetings, and gatherings with customers or partners, such as meetups during conferences.
• Manage general office and administrative duties, including maintaining relationships with our co-working space, overseeing office supplies, handling incoming mail, communicating with suppliers, and coordinating company merchandise.
• Assist employees with travel arrangements and related logistics.
• Liaise with vendors and suppliers, managing relationships to ensure the smooth provision of services.
• Keep electronic and paper records organized, ensuring that information and documents are properly filed and easily accessible.
• Aid in the implementation and maintenance of company-wide operational processes and policies, supporting the team in adherence to them.
• Actively identify and carry out improvements to everyday operations.
• Serve as a dependable point of contact, safeguarding the CEO’s time and ensuring it is utilized effectively, collaborating with the Chief of Staff on prioritization when necessary.
• Organize and coordinate appointments, meetings, and business travel across various time zones while providing seamless day-to-day support.
• Assist in prioritizing and coordinating incoming requests in alignment with both internal and external stakeholders, managing correspondence as appropriate.
• Provide logistical support to the Leadership Team as needed.
• Several years of experience in an Executive Assistant, office management, operations, or a similar position, with a track record of supporting C-level executives.
• Strong organizational and time-management abilities, capable of effectively managing multiple priorities.
• Excellent communication skills and a professional, reliable working style when interacting with individuals at all levels.
• High degree of discretion and sound judgment in handling sensitive or confidential information.
• Availability and willingness to be in Berlin for the entirety of our Office Days weeks, which occur three times a year for one full working week each.
• Confidence in working independently in a remote-first environment.
• Flexibility and comfort in operating with minimal guidance in a fast-paced environment.
• Proficiency in using AI tools to enhance productivity, coupled with a curiosity to continually seek better working methods.
• A proactive attitude, with a tendency to question the status quo and identify practical improvements.
• Fluent in English, both spoken and written. Proficiency in German is a plus but not required.
