This is a fully remote position, open to applicants in New York.
• Manage vendor relationships and process invoices efficiently.
• Oversee organizational expenditures against budgets and report any discrepancies to the VP of Operations.
• Organize and file compliance documents, state charitable registrations, and corporate registrations to ensure adherence to legal and regulatory standards.
• Draft and oversee contracts, policies, and procedures.
• Administer and enhance key software platforms throughout the organization.
• Lead knowledge management initiatives, including data cleanup, document library organization, and documentation efforts.
• Identify and implement opportunities to enhance efficiency across workflows and functions.
• Prepare agendas, materials, and follow-up notes for internal meetings.
• Assist in collecting, organizing, and reporting organizational data, including marketing and fundraising metrics; maintain dashboards or tracking tools to help the team monitor progress towards objectives.
• Facilitate the onboarding and offboarding processes for staff.
• Keep HR records updated and assist with benefits administration.
• Develop and deliver staff training sessions and coordinate team-wide learning initiatives.
• Assist in planning and facilitating in-person team gatherings and events.
• Monitor public-facing inboxes, respond to inquiries, and direct messages to the appropriate team members.
• Maintain a database of grantee narratives regarding the programs supported by VOW.
• Create and update project plans, timelines, and progress reports for organizational initiatives.
• Collaborate with fundraising and marketing teams on special projects and operational requirements.
• Perform other duties as assigned.
• A minimum of 5 years of progressive experience in nonprofit operations, office management, administration, or a related generalist role.
• Strong attention to detail, ensuring thoroughness in work and a passion for creating organized spreadsheets.
• Proven ability to manage multiple priorities independently in a fast-paced remote environment.
• Openness to learning new skills and contributing to various projects within our small team.
• Demonstrated capability to utilize independent research and online tools for asynchronous learning, supported by your manager.
• Proficiency in Google Workspace or Microsoft Office, particularly Excel.
• Willingness to travel occasionally for in-person team events.
