This is a fully remote position, open to applicants in Canada.
• Collaborate closely with the COO to oversee agency-wide operational priorities, ensuring projects progress, obstacles are identified, and follow-through is achieved.
• Serve as a reliable second-in-command to the COO, assisting in translating strategy into actionable execution plans, timelines, workflows, and accountability across the team.
• Prepare updates, project trackers, meeting agendas, internal documents, and follow-up actions to maintain alignment between leadership and teams.
• Take ownership of and maintain project management systems throughout the agency, guaranteeing that projects have designated owners, timelines, milestones, and next steps.
• Monitor progress on key internal and client-facing operational projects, proactively pinpointing delays, risks, and dependencies.
• Lead project check-ins, ensure completion of action items, and ensure that work is delivered punctually and meets high standards.
• Assist the COO in establishing, tracking, and managing quarterly OKRs across the agency.
• Transform quarterly goals into actionable project plans, complete with clear timelines, owners, metrics, and reporting rhythms.
• Identify operational inefficiencies and develop improved systems, workflows, templates, and processes to enhance team performance.
• Document repeatable processes and contribute to creating scalable working methods across departments.
• Independently manage and execute operational projects that enhance agency performance, team productivity, client delivery, or internal systems.
• Collaborate cross-functionally with department leads and team members to advance initiatives from conception to implementation.
• Proven experience in operations, project management, agency operations, business operations, or a related field.
• Strong project management capabilities and the ability to juggle multiple priorities simultaneously.
• Experience working closely with senior leadership, preferably a COO, founder, or department head.
• Familiarity with OKRs, quarterly planning, team scorecards, or business operating systems.
• Exceptional written and verbal communication skills.
• Keen attention to detail and a strong commitment to follow-through.
• Ability to work across functions and hold individuals accountable in a collaborative manner.
• Comfortable operating in a fast-paced, dynamic environment.
• A hands-on approach — no task is too minor if it contributes to advancing the business.
• Nice to Have: Experience in an agency, social commerce, e-commerce, influencer marketing, creator marketing, or performance marketing environments.
• Familiarity with tools such as Asana, ClickUp, Monday.com, Notion, Airtable, Slack, Google Workspace, or other similar project management and documentation platforms.
• Experience in developing internal processes, SOPs, dashboards, or reporting systems.
