Operations Manager

This is a fully remote position, open to applicants in Guatemala.

📋 Description

• Oversee the billing operations and ensure that revenue cycle processes are accurate, timely, and organized across all clinics.

• Ensure that each clinic's schedule is fully booked, precise, and in accordance with therapist availability.

• Serve as the reliable point of contact for patients seeking information between their consultation and decision-making phases.

• Develop the modular operational framework that enables Moment to expand into new locations consistently each year.

• Collaborate closely with the Head of Operations and the wider team, with the potential for direct reports as Moment grows.

⛳️ Requirements

• A minimum of 4 years of experience in operations, executive support, or office management within a multi-location or client-facing environment.

• Direct experience in overseeing billing, revenue cycle management, or accounts receivable operations.

• Excellent client-facing communication skills, including the ability to handle phone calls and discuss pricing or insurance comfortably.

• Proven ability to manage multiple priorities, locations, or workflows concurrently.

• Experience in creating and documenting standard operating procedures (SOPs) for others to follow.

• A demonstrated history of identifying operational inefficiencies and independently proposing solutions.

• Familiarity with CRM tools (such as GoHighLevel) and team communication platforms (like Slack).

• Willingness to learn new clinical or scheduling software (for example, PracticeQ).

• Strong attention to detail with a commitment to following through on tasks.

• Self-motivated individual capable of working with minimal supervision.

• Must possess a personal webcam, microphone, and computer (relevant software and subscriptions will be provided).

• Excellent proficiency in English, both verbal and written (C1-C2 on the CEFR Scale).
