This is a fully remote position, open to applicants in California, +2 more states.
• Oversees workshops from inception to completion in collaboration with BA program staff, encompassing the initial intake process, introductory/screening calls, pricing decisions, scheduling, registration, invoicing, and additional logistical support.
• Delivers outstanding customer service to members, partners, and other nonprofits and foundations seeking assistance from the BA program.
• Monitors BA program inboxes for technical assistance and other inquiries, directing those requests to the appropriate BA program team members.
• Manages the annual public webinar series, providing support for scheduling, logistics, and technical aspects.
• Oversees the on-demand webinar program, including content coordination and development, as well as logistical and technical support.
• Aids in tracking deliverables and logistics associated with BA’s portfolio of contracts and grants, which includes setting reminders, updating task statuses in ClickUp, and flagging impending deadlines for program leadership.
• Prepares internal briefing documents that summarize BA’s collaborations with partners and funders prior to key meetings, as necessary.
• Drafts scopes of work and contracts for review by BA program leadership.
• Assists program leadership in monitoring deliverables and logistics related to BA’s strategic partnerships, including scheduling workshops and providing other logistical support as needed.
• Acts as the primary contact for the Membership and Outreach team concerning the planning of BA’s initiatives related to quarterly member events, etc.
• Maintains internal data tracking systems in EveryAction, ClickUp, and other platforms with high accuracy and minimal supervision.
• Conducts regular database maintenance, which includes data entry and ensuring data quality.
• Utilizes and analyzes data pertaining to the BA program to produce reports.
• Assists BA program leadership in developing and implementing operational systems and processes.
• Enhances job knowledge by engaging in educational opportunities, reading professional publications, maintaining personal networks, and/or participating in professional organizations.
• Supports AFJ’s commitment to promoting equity in all facets of the organization, contributing to an organizational culture that is inclusive, respectful, and equitable.
• Other duties as assigned.
• Proven experience (3-5 years) providing administrative and/or program support.
• A Bachelor's degree is preferred but not mandatory.
• Experience in nonprofit and/or public interest organizations is advantageous.
• A collaborative team player with exceptional interpersonal skills; brings a positive attitude, patience, and a sense of humor to the workplace.
• Strong collaborator capable of quickly adapting to changing circumstances.
• Proactive in building technical skills and assuming additional responsibilities with minimal oversight.
• Excellent organizational abilities, with keen attention to detail and the capacity to manage multiple tasks simultaneously.
• Displays creativity, initiative, and sound judgment to manage personal workload and support the BA team effectively.
• Exceptional computer proficiency, particularly in Microsoft Office 365 (Outlook, Word, SharePoint, etc.).
• Willingness to swiftly learn and implement new software and tech platforms.
