This is a fully remote position, open to applicants in Poland.

📋 Description

• Assist the Operations team with managing calendars, ensuring a balance between meetings, strategic tasks, and other priorities while maintaining organized and efficient schedules.

• Aid in coordinating onboarding processes, prepare welcome packages, and collaborate with team leaders to guarantee that new hires have a smooth transition from day one.

• Oversee laptop orders, equipment provisioning, shipping, returns, and other logistics to ensure employees are equipped with the necessary tools for success.

• Compile meeting notes and action items from Operations team meetings and leadership discussions, ensuring that key decisions and follow-ups are documented and monitored.

• Manage co-working space bookings, coordinate office-related requirements, handle incoming mail, and support daily operational administration.

• Plan team events, offsite activities, team dinners, and other employee engagement initiatives, including making restaurant reservations and entertainment arrangements.

• Assist with travel arrangements, including bookings, itineraries, and agendas for business trips and team gatherings.

• Anticipate needs, proactively solve problems, and continuously seek ways to enhance administrative processes and improve team efficiency.


⛳️ Requirements

• A minimum of 2 years of experience in roles such as Administrative Assistant, Executive Assistant, Office Manager, Operations Coordinator, Events Coordinator, or similar support positions.

• Exceptional organizational skills with a keen eye for detail.

• Strong written and verbal communication skills in English.

• Capability to manage multiple priorities concurrently in a dynamic environment.

• Experience in coordinating calendars, meetings, travel, logistics, or events.

• A strong sense of ownership and follow-through with the ability to work independently.

• Proficient in Google Workspace (Docs, Sheets, Calendar) and modern collaboration tools like Slack and Zoom.

• Professionalism, discretion, and sound judgment when dealing with confidential information.

• A proactive, service-oriented attitude and a commitment to helping others succeed.
