This is a fully remote position, open to applicants in Alabama, +12 more states.
• Provide support for project coordination by documenting meeting notes and action items, maintaining project tracking systems, monitoring deadlines, and following up on assigned responsibilities.
• Assist with School initiatives, encompassing document preparation, workflow management, budget oversight, and basic financial administration.
• Aid school leadership in recruitment activities, onboarding specific to the school, and coordinating scheduling sessions for faculty, staff, or collaborators as required.
• Monitor competitive and industry trends, identify process deficiencies, and escalate concerns to School leadership when necessary.
• Act as a primary contact for routine inquiries from students, faculty, staff, and external partners, directing requests to the appropriate resources as needed.
• Support activities directed at students such as communication efforts, events, awards, and documentation.
• Coordinate specialized program accreditation initiatives by tracking accreditation cycles and timelines and assisting with self-study development and evidence gathering.
• Organize and maintain centralized digital repositories for accreditation and assessment documentation, utilizing clear version control and naming conventions.
• Support School-level assessment and continuous improvement initiatives by maintaining calendars, gathering, and summarizing learning outcome data, tracking action items, and preparing insights reports and summary materials.
• Collaborate with institutional partners to obtain, verify, and format both quantitative and qualitative data for accreditation and reporting objectives.
• Provide administrative support for grant-related activities, including researching funding opportunities, assisting with grant writing, tracking deadlines, maintaining grant calendars and records, and supporting compliance monitoring and reporting.
• Serve as administrative support during accreditation reviews and site visits, which includes scheduling, document preparation, and logistical assistance.
• Maintain course schedules and templates, monitor enrollment figures, and prepare regular reports for School leadership.
• Support the delivery of academic programs by arranging logistics for courses, professional development events, workshops, and other activities.
• Assist with content uploads, manage learner communications regarding logistics, track enrollment, and provide participant support for online and hybrid offerings.
• Function as the liaison between the School and institutional partners to ensure efficient workflows and timely completion of academic tasks.
• Aid in internal and external communications by drafting and coordinating content for newsletters, emails, social media, websites, and reports.
• Support School marketing and outreach initiatives, including creating social media content, developing promotional materials, and coordinating with institutional marketing partners.
• Help ensure accurate, current, and consistent program information and messaging across all communication platforms.
• Perform other duties as assigned.
• Bachelor's Degree or equivalent combination of education and experience.
• Three (3) to five (5) years of experience in operational support and/or project coordination, ideally within higher education, online post-secondary education, or academic affairs.
• Experience in supporting academic operations, accreditation, assessment, or compliance activities.
• Familiarity with scheduling, data reporting, enterprise systems, databases, CRM tools, or project management platforms.
• Experience in grant development or administration.
• Possession of a professional certification such as Certified Administrative Professional (CAP) or Project Management Professional (PMP).
