This is a fully remote position, open to applicants in California, +2 more states.
• Offer daily assistance to the Head of Small Clubs, including but not limited to: scheduling and managing calendars.
• Support the candidate interview process for open operations roles (including travel arrangements and schedule creation).
• Manage monthly expenses for the Head of Small Clubs.
• Process invoices for the Head of Small Clubs.
• Organize and generate reports regarding social media reviews using Reputology.
• Develop PowerPoint pitch/bid presentations for potential partners and external stakeholders.
• Assist with the rollout of new menus, create mandate lists, and follow up on venue progress for the F&B Team.
• Maintain and update organizational charts and contact details for the department.
• Provide weekly reports on upcoming shows and events across all venues.
• Prepare agendas for meetings and calls.
• Gather, consolidate, and organize information from venues to aid in future sponsorship, marketing, and/or operational opportunities.
• Offer additional project support as needed for various departments.
• 1-2 years of administrative experience in a high-volume setting.
• Experience in supporting executives is preferred.
• Background in multi-unit operations and hospitality is desired.
• A strong passion for hospitality and operations is essential.
• Exceptional verbal and written communication skills, along with professional phone etiquette.
• Strong computer proficiency, particularly in the Microsoft Office suite (Word, Excel, PowerPoint).
• Prior experience with expense management applications like Concur is a plus.
• Ability to engage positively with coworkers, executives, and high-level industry professionals.
• Must possess the capability to anticipate and resolve issues, communicate effectively, and manage potentially tense situations with diplomacy.
• An organized, detail-oriented, self-motivated individual who excels at multitasking and can manage last-minute projects and tight deadlines.
• Proficient typing skills are required (ability to type 60 wpm).
• A college degree is required.
