This is a fully remote position, open to applicants in Philippines.
• Efficiently transfer and transpose data across various platforms, systems, and documents on a daily basis.
• Uphold a high level of data integrity with minimal tolerance for errors, swiftly identifying and rectifying discrepancies as they occur.
• Examine, categorize, and code financial expenditures to the correct cost centers, general ledger accounts, or budget lines in compliance with established company policies and accounting standards.
• Produce, format, and distribute end-of-month reports, certifications, documents, and associated paperwork.
• Ensure all records comply with internal quality standards and are promptly shared with the relevant internal or external parties.
• Prepare and deliver accurate quotes or pricing documents to clients or internal stakeholders.
• Monitor all quote correspondence, keep organized records, and follow up as instructed to assist the sales or operations pipeline.
• Develop and sustain a well-organized, up-to-date filing system—both digital and physical—ensuring all documents are correctly categorized, labeled, version-controlled, and accessible upon request.
• Support the accounting team with routine AP/AR functions, including invoice matching, purchase order verification, payment tracking, and month-end reconciliation activities.
• Follow established standard operating procedures (SOPs) for all recurring tasks.
• Act as a dependable administrative resource across teams, aiding with scheduling, correspondence, data requests, and documentation requirements as they arise to support broader operational objectives.
• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• 1–3 years of experience in an administrative, accounting support, data entry, or operations coordination position.
• Strong verbal, written, and English communication abilities.
• Capability to work overnight/graveyard shifts in Philippine time or within US operating hours.
• Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook.
• Experience with accounting or ERP software (e.g., QuickBooks, SAP, NetSuite, or similar).
• Proven ability to manage repetitive, detail-oriented tasks with a high level of accuracy.
• Strong organizational skills, with the capability to prioritize and manage multiple assignments concurrently.
• Excellent written and verbal communication skills.
