Operation Coordinator

This is a fully remote position, open to applicants in Spain.

📋 Description

• Assist in key HR, administrative, and IT coordination tasks within a dynamic remote setting.

• Oversee the onboarding and offboarding procedures utilizing established checklists.

• Maintain records for employees and contractors, including internal directories and organizational charts.

• Address basic employee inquiries and direct questions to the appropriate personnel.

• Monitor essential employee information such as start dates, terminations, and role transitions.

• Review and manage state-level communications and escalate issues when necessary.

• Collaborate with the Accounting team to coordinate payment calculations.

• Create and deactivate user accounts in accordance with approved requests.

• Manage email distribution lists and aliases effectively.

• Provide fundamental Tier 1 support, including password resets and access troubleshooting, and escalate problems as required.

• Assist in scheduling meetings and managing administrative tasks.

• Maintain shared trackers concerning onboarding, offboarding, and access logs.

• Collaborate with internal teams and external vendors to facilitate daily operations.

• Prepare regular reports detailing open headcounts and departmental staffing levels.

• Ensure the accuracy and timeliness of operational data.


⛳️ Requirements

• Excellent communication skills in English, both written and verbal.

• A minimum of 2 years of experience in administrative, operations, HR support, or similar roles.

• Exceptional organizational skills and a keen eye for detail.

• Experience collaborating with remote teams, preferably based in the U.S.

• Comfortable adhering to structured processes and checklists.

• Proficient in Microsoft Office, Google Workspace, and collaboration platforms like Slack or Teams.

• Availability to work during EST business hours.

• High degree of discretion when managing sensitive information.
