
Onboarding Document Specialist

This is a fully remote position, open to applicants in United States.
β’ Prepare, examine, and coordinate retirement plan documentation, including adoption agreements, plan documents, trust agreements, and associated materials.
β’ Oversee onboarding processes from the initial document preparation phase to execution and completion.
β’ Review documents for accuracy, completeness, and compliance with relevant IRS, ERISA, and internal guidelines.
β’ Collaborate with advisors, clients, and internal teams to gather necessary information, clarify requirements, and ensure onboarding timelines are adhered to.
β’ Conduct thorough quality checks and identify any discrepancies or missing information before finalizing documents.
β’ Maintain precise digital records and documentation tracking throughout the onboarding procedure.
β’ Enter, update, and manage plan and client information within internal systems.
β’ Assist in identifying opportunities to enhance onboarding processes, workflows, and overall efficiency.
β’ Stay updated on regulatory and industry developments that may influence retirement plan documentation.
β’ Work collaboratively across teams and partner organizations to provide a consistent and high-quality client experience.
β’ Bachelor's degree in Finance, Business, or a related field, or equivalent professional experience.
β’ 1β3+ years of experience in retirement plans, TPA operations, financial services, or a similar field.
β’ Exceptional attention to detail with a strong commitment to accuracy.
β’ Highly organized, capable of managing multiple priorities, deadlines, and workflows effectively.
β’ Strong written and verbal communication abilities.
β’ A proactive, collaborative mindset with a readiness to take ownership of tasks from start to finish.
β’ Experience with 401(k), qualified retirement plans, or 3(16) services.
β’ Knowledge of IRS and ERISA requirements related to retirement plan documentation.
β’ Familiarity with TPA or retirement plan administration systems such as FT William, Relius, ASC, or PensionPro.
β’ ASPPA credentials such as QKA or QKC, or evidence of progress toward certification.
β’ Experience in supporting plan onboarding, document preparation, or implementation.
