This is a fully remote position, open to applicants in Philippines.
• Connect every purchase order, vendor bill, freight invoice, and subcontractor payment to its originating Sales Order in NetSuite — every transaction, every time, within 24 hours of entry.
• Keep a continuous tally of the "Actual COGS" total on each active project Sales Order.
• Identify any project where actual costs surpass 90% of the quoted COGS budget — immediately, rather than at month-end.
• Gather cost data for the Project Manager's monthly cost-to-complete updates on installation projects.
• Draft progress claim invoices based on PM approval.
• Generate the weekly project margin tracker (NetSuite saved search) and deliver it by 8am Monday AEST with no missing data.
• Monitor subcontractor payment timing against customer claim receipts — no subcontractor receives payment before the corresponding customer claim is submitted.
• Manage incoming bills and outgoing payments across all three entities.
• Track customer invoices, follow up on overdue accounts, and reconcile records.
• Utilize supplier payment terms strategically — pay on day 28 of 30-day terms, not day 7.
• Work towards auto-matching vendor bills to POs in NetSuite.
• Reconcile bank accounts daily across three entities, completed by 10am AEST.
• Investigate discrepancies, manage currency conversions and inter-company transfers.
• Establish and maintain automated bank feeds — manual reconciliation for exceptions only.
• Prepare monthly P&L and balance sheets for all three entities within 5 business days of month-end.
• AU-specific: P&L divided by product-only versus installation project revenue (two-stream reporting).
• Weekly flash report data extraction for the company's 40/25/15 margin dashboard.
• Update a 13-week cashflow forecast weekly, with special emphasis on installation project cashflow.
• Identify any installation project with a negative cumulative cashflow position within 24 hours.
• Process payroll across all entities (or manage integration if a payroll service is utilized).
• Ensure BAS/GST (AU), Sales Tax (US), and GST/HST (Canada) are all filed punctually, with zero penalties.
• Maintain audit trails and financial records for external auditors (PKF).
• Hands-on experience with NetSuite specifically. Not just "ERP experience" — you will be assessed on this through scenario-based questions during the interview and a practical evaluation prior to any offer.
• Availability during AEST business hours. This is a remote role based in the Philippines, working Australian hours.
• Proactive communicator. You address issues before they are raised. Cash concerns, margin alerts, reconciliation exceptions — you bring them to light early. This is a remote position with minimal oversight; waiting to be prompted is a dealbreaker.
• Experience working with multiple entities, each with different currencies, tax regulations, and reporting standards (AUD, USD, CAD).
• Familiarity with linking project costs to jobs or sales orders in NetSuite (or a proven ability to learn this quickly — we will test for it).
• Strong analytical skills — you assess project cost data and identify discrepancies ("freight on this project is 3x the budget — something's wrong").
• Capability to independently prioritize across competing demands from three entities, ensuring that AU project cost work is always top priority.
• Persistence: You follow up on missing cost allocations, unresolved bank items, and overdue accounts receivable. You don’t let issues linger.
• Mastery: You aim to excel in NetSuite and financial operations, rather than just being competent.
• Initiative: You propose automation and process enhancements without prompting — "Can we auto-match these POs?" is a suggestion we want to hear from you.
