This is a fully remote position, open to applicants in Philippines.
• Lead, mentor, and assist a team of Home Care Schedulers.
• Supervise daily and weekly caregiver/client schedules to ensure all visits are appropriately covered.
• Track open shifts, call-outs, late arrivals, no-shows, and urgent schedule modifications.
• Ensure that schedulers promptly fill open shifts through phone calls, texts, and follow-up communications.
• Match caregivers based on their skills, availability, location, client preferences, and pay rates.
• Evaluate new starts, schedule alterations, cancellations, and coverage risks.
• Act as the escalation point for missed visits, frequent call-outs, client concerns, and scheduling challenges.
• Collaborate closely with recruiters, care managers, caregivers, clients, payroll, billing, and leadership teams.
• Oversee EVV/clock-ins and ensure that exceptions are addressed prior to billing and payroll deadlines.
• Monitor scheduling metrics, coverage reports, open shifts, missed visits, and overall team productivity.
• Train new schedulers on systems, processes, communication standards, and escalation protocols.
• Hold the scheduling team accountable for precision, responsiveness, and follow-through.
• Identify scheduling trends, recurring challenges, and opportunities for workflow improvement.
• Assist in forecasting coverage needs based on caregiver availability, client schedules, and upcoming cases.
• Maintain precise client and caregiver information within the scheduling system.
• Provide support for after-hours or urgent scheduling escalations as necessary.
• Minimum of 2 years of experience in scheduling, operations, staffing, coordination, office management, or call center management.
• At least 2 years of experience in managing personnel, leading a team, or supervising daily operations.
• Experience in home care, home health, healthcare, caregiver staffing, or service-oriented operations is preferred.
• Proficient in English communication via phone, text, and email.
• Capable of leading a team in a dynamic, high-pressure environment.
• Exceptional organizational, follow-up, and problem-solving abilities.
• Strong attention to detail with the capacity to manage multiple priorities simultaneously.
• Comfortable using scheduling systems, CRMs, spreadsheets, and various communication tools.
• Able to make swift decisions when schedules change or urgent coverage is required.
• Basic knowledge of HIPAA/privacy regulations and client confidentiality.
• Available to work during US business hours.
• Willingness to support occasional evenings, weekends, holidays, or after-hours escalations as needed.
