
Office & Executive Assistant – Property Management

This is a fully remote position, open to applicants in South Africa.
• Oversee and handle incoming calls, emails, and voicemails.
• Evaluate tenant requests through the property management system.
• Arrange non-emergency maintenance requests with vendors.
• Direct inquiries to the relevant departments or personnel.
• Keep organized records of communications and requests.
• Guarantee timely responses to tenants and stakeholders.
• Assess maintenance requests submitted via the tenant portal.
• Assign appropriate vendors for non-emergency issues.
• Monitor progress and follow up on task completion.
• Facilitate communication between tenants and vendors.
• Manage the CEO's calendar and scheduling.
• Organize travel arrangements.
• Participate in virtual meetings, courses, or training sessions.
• Transcribe meetings and summarize key points and action items.
• Provide administrative support for leadership tasks.
• Excellent written and verbal communication skills in English.
• Exceptional attention to detail and strong organizational skills.
• Capability to multitask across operational and executive support tasks.
• Professional and polished appearance and demeanor.
• Strong technological proficiency and a quick learner of new systems.
• Experience in property management or real estate is preferred.
• Prior experience as an executive assistant is preferred.
• Bilingual skills (English/Spanish) are highly preferred.
• Experience in transcription or note-taking during meetings.
