This is a fully remote position, open to applicants in Philippines.
• Assist in all facets of project administration across various ongoing projects.
• Utilize reports and dashboards to generate, compile, and share necessary information for delivery and project teams.
• Keep precise and current project records throughout the delivery lifecycle.
• Support the delivery team with general administrative responsibilities.
• Interact with suppliers and subcontractors in a prompt, professional, and proactive manner.
• Follow up on any pending information or documentation.
• Maintain clear and professional communication with external parties through phone and email.
• Manage relevant project details using Jira and related systems.
• Ensure that communications with clients and contractors are accurately logged and auditable.
• Claim and oversee assigned tasks within CRM and task management systems.
• Aid in document processing and system updates.
• Adhere to quality standards, procedures, and delivery processes.
• Identify and escalate any issues, delays, or risks.
• Assist with implementing agreed-upon remedies and preventive measures.
• Support audit readiness by ensuring complete documentation and communication trails.
• Prepare basic reports to help sustain or enhance service delivery.
• Strive towards meeting delivery team KPIs and performance targets.
• Help address administrative gaps within the delivery function.
• Carry out other role-specific tasks as needed.
• Prior experience in an administrative or support position, preferably in construction, engineering, technology, or a related field.
• Strong organizational abilities with the capability to handle multiple tasks at once.
• Proficient IT skills and confidence in working with structured systems and workflows.
• Familiarity with Microsoft Office, including Outlook, Word, and Excel.
• Experience with CRM systems and task or ticket management platforms (e.g., Jira) is preferred.
• Strong written and verbal communication skills, with confidence in engaging suppliers and subcontractors.
• Ability to process work efficiently while paying attention to detail.
• Capability to adhere to defined processes, quality standards, and escalation pathways.
• Ability to work both independently and collaboratively in a team setting.
• Previous exposure to construction terminology or documentation is beneficial but not mandatory.
• Permanent work-from-home arrangement.
• Monday–Friday: 4:00 PM–1:00 AM or 5:00 PM–2:00 AM PHT (adjustments for daylight saving time will be made).
