This is a fully remote position, open to applicants in Philippines.
β’ Establish and oversee MyP modules including Projects, Opportunities (CRM pipeline), Goals library, HR (training/credentials), forms & documents.
β’ Assist with NDIS compliance by managing intake forms, feedback/complaints log, client risk evaluations, risk profiles, Emergency & Disaster (E&D) plans, and onboarding checklists with due dates.
β’ Configure and uphold MyP components such as projects, opportunities, forms, documents, rosters, tags, auto-tasks, and saved views.
β’ Develop and maintain compliance registers, including incidents, complaints/feedback, training matrix, service risk register, and RP admin log.
β’ Oversee the participant onboarding process through the workflow (intake β risks β E&D β consent β service agreement).
β’ Create instructional training videos for MyP, focusing on short, role-specific βhow-toβ tutorials.
β’ Produce compelling behavior plan training videos based on clinician-authored plans, ensuring captions are included and the content is creative and visually appealing; bonus points for animated/avatar-based content.
β’ Develop micro-courses or eLearning modules (preferred but not mandatory).
β’ Monitor the admin@ inbox and social media DMs using authorized macros, adhering to SLAs (24 hours for non-urgent inquiries, 4 hours for priority issues).
β’ Compose templated responses and escalate risks or sensitive matters to management.
β’ Relaunch foundational marketing efforts by creating a 60-day Facebook/Instagram content calendar, designing and scheduling Canva posts, and developing newsletter templates.
β’ Craft on-brand content for social media, website, and newsletters, including weekly posts, monthly newsletters, and daily engagement activities.
β’ Aid in establishing Google Workspace, phone systems, automations, and integrating AI tools into workflows.
β’ Provide support for customer service or staff rostering via phone systems, including setting up call redirection or automated/AI processes as necessary.
β’ Investigate AI/automation tools (Make.com, Zapier, Apps Script) to enhance efficiency (preferred but not mandatory).
β’ Reporting responsibilities include delivering a daily end-of-day summary to the Leadership Team and outlining weekly priorities.
β’ Manage approvals for sensitive social posts, intake/networking calls, and responses to risks/complaints.
β’ Adhere to SLAs, including 24 hours for non-urgent inquiries and 4 hours for priority issues (risk/complaints/media/urgent intake).
β’ Ensure safeguarding by following the NDIS Code of Conduct, conducting Police Checks, and escalating risks immediately.
β’ Demonstrated virtual assistant experience with NDIS providers, preferably in Supported Independent Living, Positive Behaviour Support, or Support Coordination.
β’ Practical experience in CRM build/configuration (MyP is preferred; however, experience with similar CRMs and a quick learning ability is acceptable).
β’ Solid understanding of NDIS compliance administration, including intake, consents, incidents/complaints, risks, E&D plans, and feedback tracking.
β’ Familiarity with Canva for design and scheduling via Meta Business Suite.
β’ Exceptional organizational skills, confidentiality, and attention to detail.
β’ Previous experience in Positive Behaviour Support, Support Coordination, and/or SIL is advantageous.
β’ **Nice-to-haves:**
β’ Experience with AI/automation tools (Make.com/Zapier/Apps Script) to streamline lead β CRM β task workflows.
β’ Background in building micro-courses/eLearning.
β’ Skills in video creation (ranging from basic to advanced) with captions, and experience with avatars/animation/creative treatments (using tools like Loom, Descript, OBS, Canva).
