This is a fully remote position, open to applicants in United States.
• Assist the National Events Managers and the National Director of Events in the planning and execution of large-scale national programs across various markets and destinations.
• Take independent charge of smaller national programs and specific program components, overseeing logistics, timelines, budgets, vendor management, and client communications.
• Create and manage program briefs, manifests, staffing plans, signage packages, transportation grids, and client deliverables.
• Collaborate across multiple regions to ensure flawless execution and adherence to national program standards.
• Participate in and support site visits, planning meetings, and on-site program execution as assigned.
• Help manage national account timelines, deliverables, and operational milestones.
• Maintain proactive communication with clients to ensure that deadlines, expectations, and deliverables are met.
• Work in partnership with local events teams, sales, creative, procurement, and finance departments.
• Source, assess, and coordinate suppliers.
• Keep accurate program information updated in Salesforce and other operational platforms.
• Assist with budget development, estimates, reconciliations, scopes of work, invoices, vendor payments, and expense tracking.
• Organize event staff assignments, communications, schedules, and training.
• Resolve operational challenges in real-time and implement effective solutions.
• Share best practices, lessons learned, and suggestions for process improvements with the broader team.
• Experience in supporting or managing large-scale meetings, events, incentive programs, destination management programs, or multi-market programs.
• Excellent organizational skills with the ability to handle multiple programs, deadlines, and priorities in a dynamic environment.
• Experience collaborating with clients, suppliers, vendors, and internal cross-functional teams.
• Familiarity with Salesforce or similar CRM and operational platforms.
• Experience in budgeting, reconciliation, contracts, invoices, and vendor payments.
• Ability to adapt swiftly to changing client needs, market conditions, and program requirements.
• Strong written and verbal communication skills, demonstrating professionalism and attention to detail.
• Proactive, solutions-oriented mindset with the ability to escalate risks or concerns as necessary.
• Interest in process improvements, scalable tools, and best practices for national program execution.
• Commitment to sustainability and the pursuit of local or environmentally responsible supplier options whenever possible.
• Capability to complete required training and certification programs.
