This is a fully remote position, open to applicants in Philippines.
• Perform pre-submission audits on home loan applications and confirm supporting documentation.
• Detect missing or inconsistent information, initiate corrections, and follow up with clients.
• Assemble submission-ready loan packages for new home loans, refinancing, restructuring, top-ups, and refixes.
• Ensure that applications and client files comply with internal quality standards and regulatory protocols.
• Update clients on progress and clarify requirements via phone and email.
• Oversee post-settlement reviews, refix reminders, birthday communications, and requests for Google reviews.
• Manage electronic client files, including naming conventions, folder structures, and version control.
• Keep records, file notes, and activity logs updated in MYCRM and NZFSG.
• Review pipeline files for missed deadlines, outstanding conditions, and compliance needs.
• Protect sensitive personal and financial information.
• Collaborate with lenders, banks, conveyancers, solicitors, real estate agents, and valuers.
• Assist advisers with summaries of lending options, strategy development, and documentation for client meetings.
• Handle the Company Director’s inbox, calendar, appointments, and client contact database in Microsoft Outlook.
• Contribute to the ongoing enhancement of checklists, procedures, and administrative workflows.
• Proven experience in New Zealand mortgage administration, loan processing, broker support, or banking/financial services administration.
• Hands-on experience with MYCRM and NZFSG platforms is mandatory.
• Extensive knowledge of the New Zealand residential home-loan application process and document verification standards.
• Excellent written and verbal English communication skills, a professional phone demeanor, and strong numerical accuracy and attention to detail.
• A reliable high-speed internet connection, a dedicated quiet home-office environment, and availability to work in accordance with New Zealand business hours.
• Advanced familiarity with lender submission portals, valuation ordering systems, pricing requests, settlements, and discharge workflows is preferred.
• Experience managing complex file structures, including refinancing, loan restructuring, top-ups, and refixes is preferred.
• Prior experience in managing director-level calendar management, client review schedules, and proactive refix retention campaigns is preferred.
• Formal qualifications in Financial Services, Business Administration, or related fields are preferred.
• A methodical, detail-oriented approach; exceptional time management skills; proactive problem-solving abilities; a client-first work ethic; and proficiency with Microsoft 365/Google Workspace, CRM software, and workflow trackers.
