Mental Health Virtual Assistant – Patient Support, Billing Coordination

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the scheduling of appointments and follow-up activities

• Make recall calls to former patients as necessary

• Assist with scanning documents and organizing files

• Facilitate communication via WhatsApp, Google Meet, phone, and email

• Handle incoming calls through the Google Voice system

• Capture and assist new patients during their initial inquiries

• Deliver professional and patient-centric phone support

• Aid in onboarding new patients prior to their first appointment

• Support back billing and accounts receivable collection follow-ups

• Review denied claims and assist billing managers with resolution

• Provide support for billing-related information and documentation

• Examine older accounts receivable files and help with collection initiatives

• Enter new patient information into Simple Practice

• Upload scanned documents, forms, and faxed files into the system

• Assist in coordinating scheduling and appointments

• Ensure patient records and administrative workflows are well-organized


⛳️ Requirements

• Prior experience in healthcare or clinical administration is preferred

• Background in billing, insurance verification, or accounts receivable collections is a plus

• Experience with Simple Practice is MANDATORY

• Familiarity with mental health or behavioral health is advantageous

• Previous experience as a virtual assistant is preferred

• High proficiency with Simple Practice is required

• Knowledge of Google Voice is beneficial

• Comfortable with document management and file uploads

• Proficient in patient scheduling and onboarding processes

• Familiarity with billing denials and healthcare administrative procedures

• Understanding of HIPAA regulations and patient confidentiality

• Strong communication skills for professional phone interactions and patient engagement

• Capable of managing real-time communication requests

• Must be responsive and dependable during work hours

• Excellent attention to detail is essential

• Ability to multitask across phone support, billing, and administrative duties

• Must be capable of working independently with minimal supervision

• Reliability and consistency in task completion are required

• Proficient in clear spoken and written English

• Relevant work experience is mandatory

• Must be able to provide an NBI clearance and/or Local Police Clearance background check prior to onboarding [mandatory]

• Must be available for video meetings with the camera on (as needed)

• Device: Reliable laptop or desktop computer is required

• Internet: High-speed connection (minimum 10 Mbps) is necessary

• Audio: Noise-canceling headset is required

• Video: Webcam necessary for virtual meetings

• Workspace: A quiet, professional environment is essential
