Medical Virtual Assistant – Reproductive Mental Health

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the patient intake process from beginning to end.

• Accurately gather and record patient information.

• Update and sustain patient records using Practice Better.

• Ensure that all intake paperwork is complete and systematically organized.

• Professionally handle incoming phone calls and address patient inquiries.

• Perform non-clinical consultations and conduct outreach calls to patients.

• Follow up with patients who have been referred and manage the referral process.

• Facilitate communication between patients and healthcare providers.

• Offer compassionate and trauma-informed assistance during sensitive discussions.

• Confirm insurance eligibility, benefits, and coverage details.

• Clearly convey insurance information to patients.

• Ensure precision in insurance verification and documentation.

• Schedule appointments and manage calendars for healthcare providers.

• Arrange meetings using Zoom and Google Meet.

• Promptly monitor and respond to emails.

• Track pending tasks, referrals, and necessary follow-ups.

• Conduct receptionist and front desk administrative tasks.

• Provide assistance with executive support and general administrative duties.

• Contribute to the daily operations and workflow management of the clinic.

• Uphold HIPAA compliance in handling all patient information.

• Accurately and thoroughly document patient interactions.

• Maintain confidentiality and professionalism at all times.

• Background in healthcare administration, patient intake, and insurance verification.

• Strong verbal communication and customer service abilities.

• Compassionate, empathetic, and trauma-informed approach to communication.

• Exceptional organizational and time management skills.

• High attention to detail and commitment to follow-through.

• Capability to multitask and prioritize effectively in a dynamic setting.

• Professional, dependable, and responsible.

• Strong written communication skills and effective email management.

• Ability to work independently and address issues proactively.

• Comfort in handling confidential patient information while adhering to HIPAA regulations.

• Preferred Qualifications

• Familiarity with reproductive mental health, pregnancy loss, stillbirth, infertility, or postpartum support.

• Experience with EHR systems, particularly Practice Better.

• Previous experience in supporting healthcare or mental health practices.

• Ability to communicate in Spanish.

• Experience with Zoom, Google Meet, and virtual healthcare operations.

• Clear, neutral English communication with a minimal accent.
