This is a fully remote position, open to applicants in Philippines.
• Collect patient, insurance, and clinical details for prior authorization requests
• Process prior authorizations via payer portals, phone, fax, or other approved methods
• Monitor pending authorizations, follow up with insurance providers, and escalate any delays or denials
• Review and manage prescription refill requests, routing them to providers for approval
• Arrange, adjust, and confirm patient appointments
• Handle calls regarding appointments, refills, referrals, and authorizations
• Reach out to patients for follow-ups, missing information, or appointment logistics
• Review voicemail, AI-generated messages, and telephone encounters in eClinicalWorks
• Address routine inquiries or direct them to the appropriate clinic team members
• Oversee open messages to ensure tasks are completed, documented, or escalated
• Examine returned, rejected, or pending claims
• Submit medical records, corrected information, or necessary documentation
• Assist with claim resubmissions, basic appeals, and payer follow-ups
• Accurately record communications with patients, providers, and insurance companies
• Keep notes on completed tasks, outstanding actions, and follow-up dates
• Elevate urgent, clinical, or complex issues to providers or the office manager
• Collaborate with virtual assistants, providers, and on-site clinic staff
• Provide updates on assigned, pending, and completed tasks
• Support additional administrative duties as clinic workflows change
• Minimum of one year of experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or in a similar healthcare support role
• Experience with a U.S.-based medical practice
• Experience in processing or supporting prior authorizations
• Experience in coordinating prescription refill requests
• Experience in patient scheduling and managing inbound and outbound calls
• Familiarity with electronic health records and telephone interactions
• Excellent written and verbal communication skills in English
• Ability to document information clearly and precisely
• Strong organizational and time-management capabilities
• Ability to handle multiple queues, messages, and follow-up tasks
• Ability to identify when a concern needs to be escalated
• High level of professionalism, confidentiality, and meticulous attention to detail
• Reliable internet connection and a secure home-based work environment
• Preferred: Experience with eClinicalWorks
• Preferred: Experience with claims follow-up, medical record submissions, corrected claims, or basic appeals
• Preferred: Experience with AI-assisted phone or patient messaging systems
• Preferred: Familiarity with HIPAA regulations and patient privacy standards
• Preferred: Experience in supporting a growing or high-volume medical practice
• Preferred: Ability to work independently while maintaining regular communication with the team
