This is a fully remote position, open to applicants in Philippines.
• Collect patient, insurance, and clinical data necessary for prior authorizations.
• Submit prior authorizations via payer portals, phone, fax, or other approved methods.
• Monitor pending authorizations, follow up with insurance providers, and escalate any delays or denials.
• Review and manage prescription refill requests, routing them for provider approval.
• Schedule, reschedule, and confirm patient appointments.
• Handle calls related to appointments, refills, referrals, and authorizations, both answering and returning them.
• Review voicemail, AI-generated messages, and telephone encounters within eClinicalWorks.
• Address routine requests or direct them to the appropriate clinic team member.
• Keep track of open messages to ensure they are completed, documented, or escalated as needed.
• Assess returned, rejected, or pending claims.
• Submit medical records, corrected information, and additional supporting documentation.
• Assist with straightforward claim resubmissions, basic appeals, and follow-up with payers.
• Accurately document communications with patients, providers, and insurance companies.
• Keep notes on completed tasks, pending actions, and follow-up timelines.
• Escalate urgent, clinical, or complex matters to providers or the office manager.
• Work collaboratively with virtual assistants, providers, and onsite clinic staff.
• Provide updates on assigned, pending, and completed tasks.
• Support additional administrative responsibilities as clinic workflows change.
• Minimum of one year experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or a similar healthcare support role.
• Experience within a U.S.-based medical practice.
• Familiarity with processing or supporting prior authorizations.
• Experience in coordinating prescription refill requests.
• Proficiency in scheduling patients and managing inbound and outbound calls.
• Knowledge of electronic health records and telephone encounters.
• Excellent written and verbal communication skills in English.
• Capability to document information in a clear and accurate manner.
• Strong organizational and time-management abilities.
• Competence in managing multiple queues, messages, and follow-up actions.
• Ability to identify issues that require escalation.
• High degree of professionalism, confidentiality, and attention to detail.
• Reliable internet connection and secure home-based work setting.
• Experience with eClinicalWorks is preferred.
• Familiarity with claims follow-up, medical record submissions, corrected claims, or basic appeals is preferred.
• Experience with AI-assisted phone or patient messaging systems is preferred.
• Knowledge of HIPAA regulations and patient privacy standards is preferred.
• Experience supporting a growing or high-volume medical practice is preferred.
• Ability to work independently while maintaining consistent communication with the team is preferred.
