This is a fully remote position, open to applicants in Philippines.
• Collect patient, insurance, and clinical information for prior authorization requests
• Submit prior authorizations using payer portals, phone, fax, or other approved methods
• Monitor pending authorizations, follow up with insurance companies, and escalate any delays or denials
• Review and coordinate prescription refill requests, routing them to providers for approval
• Schedule, reschedule, and confirm patient appointments
• Handle calls regarding appointments, refills, referrals, and authorizations, both incoming and outgoing
• Contact patients for follow-ups, gather missing information, and coordinate appointments
• Review voicemail, AI-generated messages, and telephone encounters in eClinicalWorks
• Address routine requests or direct them to the appropriate clinic team member
• Monitor open messages to ensure completion, proper documentation, or escalation
• Review returned, rejected, or pending claims
• Submit medical records, corrected information, and supporting documentation
• Assist with straightforward claim resubmissions, basic appeals, and payer follow-ups
• Accurately document communications related to patients, providers, and insurance
• Keep records of completed tasks, pending actions, and follow-up dates
• Escalate urgent, clinical, or complex issues to the provider or office manager
• Collaborate with virtual assistants, providers, and onsite clinic staff
• Provide updates on assigned, pending, and completed responsibilities
• Assist with additional administrative tasks as clinic workflows evolve
• Minimum of one year of experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or a similar healthcare support role
• Experience working with a U.S.-based medical practice
• Familiarity with processing or supporting prior authorizations
• Experience coordinating prescription refill requests
• Proven ability in scheduling patients and managing inbound and outbound calls
• Knowledge of electronic health records and telephone encounters
• Excellent written and verbal communication skills in English
• Capability to document information clearly and accurately
• Strong organizational and time-management abilities
• Proficiency in managing multiple queues, messages, and follow-up tasks
• Ability to identify when a concern should be escalated
• High level of professionalism, confidentiality, and attention to detail
• Reliable internet connection and a secure home-based work environment
• Experience with eClinicalWorks is preferred
• Preferred experience in claims follow-up, medical record submissions, corrected claims, or basic appeals
• Familiarity with AI-assisted phone or patient messaging systems is preferred
• Understanding of HIPAA requirements and patient privacy standards is preferred
• Experience supporting a growing or high-volume medical practice is preferred
• Ability to work independently while maintaining regular communication with the team is preferred
• Remote work
• Part-time schedule of 30 hours per week
