This is a fully remote position, open to applicants in Philippines.
• Collect patient, insurance, and clinical details for prior authorization requests
• Submit prior authorization requests via payer portals, phone, fax, or other accepted methods
• Monitor pending authorizations, follow up with insurance providers, and escalate any delays or denials
• Review and coordinate prescription refill requests, directing them to providers for approval
• Schedule, reschedule, and confirm patient appointments
• Handle and return calls regarding appointments, refills, referrals, and authorizations
• Reach out to patients for follow-ups, missing information, or appointment coordination
• Review voicemail, AI-generated messages, and phone interactions in eClinicalWorks
• Address routine requests or redirect them to the appropriate clinic team members
• Oversee open messages to ensure tasks are completed, documented, or promptly escalated
• Examine returned, rejected, or pending claims
• Submit medical records, corrected information, and supporting documentation
• Assist with straightforward claim resubmissions, basic appeals, and payer follow-ups
• Accurately document communications between patients, providers, and insurance companies
• Keep notes on completed tasks, pending actions, and follow-up dates
• Escalate urgent, clinical, or complex issues to providers or the office manager
• Collaborate with the current virtual assistant, providers, and onsite clinic personnel
• Provide updates on assigned, pending, and completed tasks
• Support additional administrative duties as clinic workflows adapt
• Minimum of one year experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or a comparable healthcare support role
• Experience in a U.S.-based medical practice
• Familiarity with processing or supporting prior authorizations
• Experience in coordinating prescription refill requests
• Background in scheduling patients and managing inbound and outbound calls
• Knowledge of electronic health records and telephone interactions
• Excellent written and verbal communication skills in English
• Ability to document information clearly and accurately
• Strong organizational and time-management abilities
• Capability to manage multiple queues, messages, and follow-up tasks
• Ability to identify when a concern should be escalated
• High standards of professionalism, confidentiality, and attention to detail
• Reliable internet connection and a secure home-based work environment
• Preferred: experience with eClinicalWorks
• Preferred: experience in claims follow-up, medical record submissions, corrected claims, or basic appeals
• Preferred: familiarity with AI-assisted phone or patient messaging systems
• Preferred: understanding of HIPAA requirements and patient privacy standards
• Preferred: experience supporting a growing or high-volume medical practice
• Preferred: ability to work independently while maintaining regular communication with the team
