This is a fully remote position, open to applicants in Philippines.
• Oversee a significant volume of incoming phone calls, offering prompt, precise, and patient-centered assistance.
• Address email inquiries, encompassing appointment requests, general questions, and follow-ups.
• Provide clear, professional, and compassionate communication during all interactions.
• Schedule, adjust, and confirm patient appointments across various practitioners and time zones.
• Manage follow-ups, recall systems, and scheduling processes.
• Monitor inboxes and communication channels, appropriately prioritizing urgent requests.
• Verify and affirm patient registration information, ensuring it is complete and accurate.
• Maintain and update patient records within the management system.
• Ensure all documentation and correspondence comply with accuracy and privacy standards.
• Collaborate with internal teams to address scheduling issues, patient concerns, or process enhancements.
• Assist clinical staff through effective administrative coordination.
• Actively foster a positive team atmosphere through virtual meetings and check-ins.
• Execute additional administrative or reception support tasks as needed.
• Perform other job-related duties as they emerge.
• Bachelor's degree in Administration or a health-related field is preferred.
• Prior experience in a remote receptionist, administration, or customer service position, ideally within a medical or healthcare environment.
• Exceptional verbal and written communication skills with a professional, friendly demeanor.
• Strong time management and multitasking skills, with a calm, solution-oriented approach.
• Proficient in patient management software and Microsoft Office (Outlook, Word, Excel); adept with communication and telephony platforms (e.g., 3CX, VoIP systems).
• Knowledge of patient privacy and confidentiality protocols.
• Capability to work independently and collaboratively within a supportive remote team.
• Familiarity with telephony tools such as 3CX or similar cloud-based call management systems.
• Experience with the Medi Records patient management system and knowledge of Australian healthcare terminology are highly beneficial.
• Work setup – Remote work; Day shift from 0700 AM to 0300 PM PHT (adjustments will be made for daylight saving time).
• Monday to Friday; weekends off.
