This is a fully remote position, open to applicants in United States.
• Take charge of task management in ClickUp, ensuring that both the team and clients adhere to deadlines, reminders, and follow-up actions.
• Proactively follow up on outstanding tasks to guarantee that nothing is overlooked and that no one is left waiting for responses.
• Assist the team in juggling multiple active projects across various client accounts simultaneously.
• Organize meeting agendas and ensure follow-through on action items with cross-functional teams.
• Write and generate blog content and website copy utilizing Copy.ai based on SEO outlines — this is a fundamental and recurring weekly duty.
• Edit all content to ensure it is polished, accurate, and ready for publication on blogs and websites.
• Aid the SEO team with content coordination, tracking, and management of deadlines.
• Review client websites on both mobile and desktop platforms, identifying issues or suggestions for the web development team.
• Conduct QA testing on newly developed websites at various stages of their development.
• Perform light UX and content checks — while not making changes, you will identify and communicate what requires attention.
• Craft client-facing emails and respond to inquiries promptly and professionally.
• Follow up with clients via email or phone as necessary to keep projects progressing.
• Represent the agency with a polished, confident, and solution-oriented communication style.
• 3 to 5 years of experience in program or project coordination within a digital agency, SaaS, or marketing operations setting.
• A systems thinker who can grasp both the big picture and minute details simultaneously — adept at orchestrating multiple projects without losing focus.
• Exceptional communicator — delivers crisp written updates, is confident on Zoom, and maintains professionalism with clients.
• Proactive problem-solver who anticipates needs and eliminates obstacles before they escalate into larger issues.
• Comfortable leading meetings and ensuring follow-through across teams.
• Data-curious — able to interpret metrics, trends, and capacity signals to guide decision-making.
• Flourishes in a fast-paced, quality-focused team where deadlines are non-negotiable.
• Must attend the weekly team meeting every Monday at 8:00 AM PST — no exceptions.
• Must reside in the Continental United States and work in PST.
• Comfortable managing deadlines and calendars within the PST time zone.
