This is a fully remote position, open to applicants in Philippines.
• Oversee booth registration, payment processing, and procurement for key trade shows occurring twice a year.
• Identify and organize branded materials, giveaways, and printed kits for each event.
• Monitor event-related expenses and submit documentation for budget reconciliation.
• Maintain an event calendar featuring deadlines, vendor contacts, and logistics checklists.
• Coordinate the shipping of event materials and verify on-site delivery schedules.
• Manage inventory and fulfillment for ongoing programs including Free Drill kits and New Customer Gift packages.
• Track outbound shipments and address delivery concerns with carriers.
• Keep precise inventory logs using Excel or Google Sheets; notify the team lead when stock needs replenishing.
• Collaborate with the U.S. sales team on regional distribution requests and fulfillment priorities.
• Create, segment, and maintain the master email list in Mailchimp by region, specialty, and status.
• Execute final newsletter distributions after receiving approval from the team lead and ensuring designer assets are delivered.
• Regularly ensure list hygiene by processing unsubscribes, bounces, and opt-in updates.
• Generate post-send reports and share metrics like open rates, click rates, and list health summaries with the team.
• Research and assess gift options for new customer welcome and appreciation initiatives.
• Manage vendor relationships, purchase orders, and delivery schedules for gift procurement.
• Collaborate with the U.S. sales team to guarantee timely delivery to new accounts.
• Monitor gift inventory and proactively reorder to sustain buffer stock levels.
• Maintain billing and vendor invoice tracking, including logging payments, due dates, and approval statuses.
• Update and organize procurement records such as purchase order logs, vendor contacts, and order histories.
• Keep shared folders and documentation well-structured and accessible for the team.
• Assist with light data entry and reporting tasks as assigned by the team lead.
• A minimum of 2 years of experience in marketing administration, operations coordination, or a related role.
• Proficiency in Excel or Google Sheets — comfortable with tracking logs, basic formulas, and organized record maintenance.
• Familiarity with Mailchimp or other email distribution platforms.
• Highly organized with a keen attention to detail and the ability to juggle multiple tasks simultaneously.
• Proficient written English for effective remote communication with the U.S. team.
• Dependable and self-motivated — capable of maintaining operations independently without close supervision.
• Experience in vendor coordination, procurement, or logistics is a significant advantage.
