This is a fully remote position, open to applicants in United States.
• Support the planning and execution of AlphaSense’s North American trade shows, from the initial planning stages through to post-event analysis.
• Oversee booth design, vendor management, shipping logistics, registration processes, promotional materials, onsite staffing, and lead collection.
• Serve as the onsite coordinator for select events, facilitating setup and ensuring a smooth experience for attendees.
• Evaluate and report on event ROI, offering suggestions for future enhancements.
• Investigate new event opportunities and enhance our overall event presence.
• Develop event toolkits, team briefings, and pre-show training materials.
• Monitor event expenditures against budgets and keep precise financial records.
• Manage sponsorship agreements and confirm that all contracted benefits are delivered.
• Collaborate with Sales/SDR teams on outreach efforts, meeting organization, lead transfer, and follow-up activities.
• Maintain a comprehensive calendar of North American events, including deadlines and responsibilities.
• Handle promotional items, giveaways, and booth inventory, including reordering and logistics for storage.
• 3–5 years of experience in coordinating technology trade shows and events within a B2B or SaaS context.
• Strong project management abilities, capable of handling multiple events, stakeholders, and timelines effectively.
• A proactive, execution-oriented mindset with the ability to remain composed under pressure.
• Exceptional communication and interpersonal skills.
• Experience in coordinating vendor logistics and pricing while adhering to budgetary constraints.
• A creative perspective on booth design and the development of on-brand experiential environments.
• Self-driven with a strong sense of professionalism and accountability.
• Familiarity with marketing/event platforms such as Salesforce, Marketo, Asana, or similar tools.
• Proficient in Excel/Google Sheets for tracking expenses and generating reports.
• Willingness to travel up to 20% within the US and Canada, which may include weekends.
• Capability to lift and transport event materials as required.
• A valid passport and/or driver’s license for cross-border travel between the US and Canada.
