This is a fully remote position, open to applicants in United States.
• Act as the project coordinator for the marketing team, overseeing schedules, monitoring deliverables, and ensuring campaigns and initiatives meet deadlines.
• Maintain a comprehensive marketing calendar that includes events, campaigns, content launches, and internal milestones.
• Oversee the inventory of marketing materials and coordinate the development of new ones.
• Manage tasks assigned to external vendors, encompassing print production, promotional items, and creative execution.
• Assist with daily marketing operations by communicating requirements, tracking progress, and identifying potential risks.
• Analyze campaign and event metrics, providing support for performance reporting.
• Monitor marketing budget expenditures against planned allocations for programs, events, and vendor commitments.
• Process invoices, reconcile receipts, and ensure accurate budget coding.
• Identify budget variances and assist in reforecasting efforts.
• Maintain vendor relationships and negotiate pricing effectively.
• Oversee logistics for industry conferences, roadshows, customer roundtables, and executive experiences from start to finish.
• Handle booth shipping and setup, vendor contracts, attendee registration, hotel room blocks, and on-site logistics.
• Support the planning and execution of annual Sales Kick-off programming, including venue logistics and budget compliance.
• Provide logistical and communication assistance for Board of Directors meetings.
• Coordinate third-party event participation, booth assets, sponsor deliverables, speaking submissions, and lead capture efforts.
• Manage corporate gifting, event swag, and new hire gifting programs in collaboration with HR.
• Ensure that event execution adheres to Schoox brand standards and go-to-market strategies.
• Collaborate with Marketing, Sales, and BDR teams for pre- and post-event follow-ups and lead handoffs.
• Work together with Product Marketing on event and campaign assets and materials.
• Bachelor’s degree in Marketing, Business Administration, Communications, or a related field.
• 3–5 years of experience in marketing operations, event coordination, or marketing coordination, preferably within the SaaS or B2B technology sectors.
• Proven project management abilities, including managing multiple workstreams, creating workback schedules, and overseeing timelines.
• Practical experience in budget management, including tracking expenditures, processing invoices, and maintaining budget documentation.
• Exceptional attention to detail.
• Strong communication and interpersonal skills for effective cross-functional and vendor collaboration.
• Proficiency in Microsoft Office Suite.
• Familiarity with project management tools like Asana and Monday.com, CRM systems, and email marketing platforms.
• Flexibility and willingness to travel and work irregular hours as needed around event schedules.
• A proactive approach to ownership and follow-through.
