This is a fully remote position, open to applicants in United States.
• Deliver proactive administrative and operational assistance to the Director of Marketing and Director of Integrated Marketing.
• Oversee complex calendar management and scheduling, prioritize meetings, coordinate logistics, and ensure that leadership has adequate preparation time and information.
• Arrange business travel and associated logistics.
• Organize and manage email communications, as well as draft internal and external correspondence for Marketing leadership.
• Handle confidential and sensitive business information with care.
• Prepare meeting materials, presentations, research, and other resources for leadership.
• Attend specified Marketing leadership meetings, document decisions and action items, and assist with follow-up actions.
• Prepare and file expense reports, tracking reimbursements as necessary.
• Maintain Marketing team calendars and coordinate regular meetings, planning sessions, and team activities.
• Organize agendas, materials, notes, and action items.
• Assist with ongoing Marketing reporting and documentation.
• Coordinate monthly and quarterly reporting materials for Marketing leadership and executives.
• Manage team and client gifting and recognition initiatives.
• Support departmental budgeting and expense monitoring.
• Organize logistics for Marketing events, planning meetings, BELAY Summit, and other team-related activities.
• Track and process referral and affiliate payouts.
• Assist with cross-functional and special projects in response to the evolving needs of the Marketing team.
• A minimum of two years of experience providing administrative or operational support to senior leaders or multiple leaders.
• Exceptional attention to detail with the ability to maintain accuracy across various priorities.
• Capability to manage confidential and sensitive information with discretion.
• Strong organizational and time management abilities.
• Skill in prioritizing competing deadlines effectively.
• Ability to anticipate needs, exercise sound judgment, and independently progress work.
• Excellent written and verbal communication skills.
• Adaptability to changing priorities and effective collaboration across teams.
• Experience supporting a Marketing team or working within a marketing environment is preferred.
• Experience coordinating events, meetings, or team initiatives is preferred.
• Proficiency in Google Workspace and Slack.
• Ability to quickly learn and adjust to new technologies and systems.
• A dedicated home office is required.
• Work schedule must align with BELAY's core collaboration hours.
• Candidates should reside within a 50-mile radius of Atlanta, GA.
• Must be legally authorized to work in the United States.
