This is a fully remote position, open to applicants in Virginia.
• Conduct research, generate reports, manage information requests, and execute clerical tasks such as correspondence, visitor reception, conference calls, and scheduling meetings.
• Offer internal guidance and coordination on administrative operations, management controls, metrics collection, standard operating procedures, and compliance with administrative policies.
• Manage, respond to, and track document requests and correspondence in accordance with relevant policies and procedures.
• Arrange and prepare travel plans, authorizations, and vouchers for government staff through the organizational travel system.
• Compose and edit memos, create spreadsheets, and handle document filing and copying.
• Assemble correspondence, briefing materials, talking points, and reports for review and approval by government staff.
• Organize and schedule both internal and external meetings while maintaining staff calendars with a focus on priority management.
• Coordinate media appearances, interviews, and meetings or briefings with congressional members.
• Review meeting invitations for correct titles, purposes, agendas, documents, and attendee lists.
• Take minutes and notes during meetings, prepare executive summaries and action items, and distribute approved materials.
• Adhere to administrative policies, task requirements, executive secretariat guidelines, formats, and procedures.
• Draft replies to written requests and complete the necessary clearance documentation.
• Implement the Plain Writing Act of 2010 to ensure appropriate tone and style in communications.
• Review grammar, spelling, punctuation, accuracy, and clarity of written communications.
• Provide logistical support for on-site events, teleconferences, videoconferences, registration, and room reservations.
• Research off-site meeting locations.
• Plan and facilitate working sessions and other initiatives as requested by government staff.
• Organize briefing materials and action items, including binders.
• Manage records by reviewing, filing, scheduling, and archiving documents.
• Handle complex tasks, prioritize conflicting demands, and adapt to a fast-paced environment.
• DHS Suitability is mandatory.
• Only U.S. citizens may apply.
• Capability to obtain and maintain a Public Trust or Suitability Determination.
• Proficient in Microsoft applications.
• Ability to manage priorities among multiple executives.
• Flexible and adaptable; capable of shifting to other tasks for executive fast-response needs.
• Strong basic consulting skills and capacity to support senior managers or executives.
• Proficiency in crafting responses, creating PowerPoint presentations, conducting basic analysis, and organizing and synthesizing numerical or other types of information.
• Strong experience with Microsoft Excel, PowerPoint, OneNote, and Word.
• Familiarity with Power BI and Visio is a plus.
• Ability to assist with executive meeting management, organization, outreach, and logistics.
• Competence in using SharePoint for information management.
• Understanding of Knowledge Management principles.
• Proactive work ethic with minimal supervision.
• Occasional travel may be necessary; expected to be less than 10%.
