This is a fully remote position, open to applicants in Philippines.
• Oversee Mason's management of active work orders throughout the portfolio, ensuring accuracy and appropriateness in troubleshooting guidance, vendor coordination, and communication.
• Introduce corrections, clarifications, or additional instructions into Mason when its responses need modification or when human reasoning is warranted.
• Monitor work order progress from initiation to completion, guaranteeing that nothing is delayed or overlooked without intervention.
• Detect trends in work order categories, recurring problems, or vendor performance and share insights with the PM team.
• Manage a high-volume work order setting — this position is tailored for coordinators who can handle 200 or more work orders monthly.
• Develop and enhance prompts to guide Mason's actions, refine its responses, and optimize its capabilities for specific work order types or situations.
• Cultivate a solid understanding of Mason's strengths and limitations to discern when to allow it to operate independently and when to step in.
• Continuously enhance your prompting strategy based on results — improved instructions yield better outcomes from the system.
• Directly communicate with residents regarding work order status, scheduling, troubleshooting follow-ups, and resolutions.
• Maintain a professional, helpful, and clear tone in all resident communications, as this is a public-facing role.
• Address resident concerns and inquiries with empathy and efficiency, escalating to the PM when necessary.
• Identify work orders or scenarios that necessitate escalation to the Property Manager and convey them clearly with the relevant context.
• Assist with owner communications as directed by the PM — coordinator interactions with owners are limited and guided by PM instructions.
• Keep the PM team updated on any emerging issues, vendor challenges, or resident concerns that require leadership attention.
• A minimum of 2 years of experience in maintenance coordination within a property management setting.
• Proven experience managing a high volume of work orders — handling 200 or more work orders per month is the expected standard.
• Strong problem-solving abilities and independent critical thinking skills — capable of assessing situations, making judgments, and taking action without waiting for guidance.
• Ability to evaluate AI-generated troubleshooting guidance and confirm its appropriateness, accuracy, and completeness for the situation at hand.
• Excellent written and verbal communication skills in English — this role is public-facing and necessitates clear, professional communication with residents.
• Comfortable utilizing AI tools and technology — prior experience with AI agents or prompt writing is a significant advantage.
