This is a fully remote position, open to applicants in Poland.
• Conduct research on previous translation projects, instrument records, and licensing documentation to aid in the development of COA instrument profiles and summary reports.
• Execute searches for licensing and permissions information utilizing internal repositories, document archives, online research, and direct outreach as necessary.
• Accumulate, organize, and uphold precise instrument-related data to guarantee compliance with client and regulatory standards.
• Assist in preparing components for licensing quotations to be included in LV project estimates.
• Handle standard licensing and permission requests while monitoring approvals and documentation.
• Interact with clients to gather project specifications and requirements to generate accurate and timely LV quotes.
• Investigate prior LV projects to uncover opportunities for duplication or archive discounts.
• Draft and process LV project quotes and job orders of basic to intermediate complexity, considering word counts, formatting requirements, and timeline estimations.
• Oversee project setup across internal systems, spreadsheets, logs, and databases in line with established procedures.
• Offer consultation to clients concerning project modifications, priorities, and timelines.
• Comply with the company's Quality Management System (QMS) requirements, including ISO 9001 and ISO 17100 standards.
• Collaborate with Finance to ensure accurate invoicing and payment processing.
• Keep precise project documentation, reports, and status updates for both internal and client use.
• Engage in process improvement initiatives and special projects as assigned.
• Bachelor’s degree in Business, English, Foreign Language, Library Science, Life Sciences, or a relevant field; or an equivalent combination of education and experience.
• 2–4 years of experience in project planning, licensing coordination, translation services, or a similar operations role.
• Familiarity with COA instruments, linguistic validation, or clinical research environments is preferred.
• Previous experience with vendor coordination or translation workflows is strongly preferred.
• Practical knowledge of LV project planning, licensing processes, and translation workflows.
• Capability to research, analyze, interpret, and summarize information from various sources.
• Ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
• Proficiency in standard business software (e.g., Word, Excel, PowerPoint, Adobe Acrobat, Office 365) and skill in navigating internal databases and systems.
• Capacity to work independently while effectively collaborating within a team.
• Ability to maintain confidentiality and appropriately manage sensitive information.
