This is a fully remote position, open to applicants in Philippines, +2 more countries.
β’ Match LBA therapists (BTs/RBTs) with new and existing clients based on their availability, geographic location, language preference, and clinical compatibility.
β’ Develop and maintain precise weekly and monthly schedules for active therapists and clients.
β’ Handle schedule modifications due to cancellations, therapist time-off, or client changes with same-day turnaround as needed.
β’ Oversee therapist caseload capacity to avoid overextension and ensure consistent session coverage.
β’ Monitor client authorization hours and notify clinical and billing teams about impending expirations.
β’ Ensure that authorized service hours are fully utilized within the designated approval periods.
β’ Keep accurate records in scheduling and case management systems.
β’ Assist in ensuring documentation accuracy for Medicaid and insurance requirements.
β’ Act as the primary scheduling logistics contact for therapists.
β’ Collaborate with BCBAs and clinical supervisors regarding session plans, treatment goals, and supervision availability.
β’ Communicate with families about scheduling, session confirmations, and any changes.
β’ Work alongside intake to onboard new clients from the point of authorization approval to their first session.
β’ Address staffing gaps, authorization issues, and scheduling conflicts.
β’ Maintain scheduling data across EHRs, scheduling software, and spreadsheets.
β’ Generate and disseminate weekly scheduling reports.
β’ Identify trends in cancellations, no-shows, and unfilled sessions for workforce planning.
β’ A high school diploma or equivalent is required; an Associate's or Bachelor's degree is preferred.
β’ A minimum of 1 to 2 years of experience in scheduling, care coordination, administrative operations, or a related field.
β’ Experience in a healthcare, behavioral health, home care, or LBA setting is highly preferred.
β’ Capability to manage multiple priorities in a fast-paced, high-volume environment.
β’ Strong proficiency in scheduling systems, EHR or case management platforms, and Microsoft Office / Google Workspace.
β’ Exceptional written and verbal communication skills with clinical staff, families, and leadership.
β’ High attention to detail with a low tolerance for data errors or scheduling inaccuracies.
β’ Familiarity with Medicaid authorization processes and service hour tracking is preferred.
β’ Experience with LBA-specific platforms such as Central Reach, Catalyst, Theralytics, or similar is preferred.
