This is a fully remote position, open to applicants in Florida.
• Act as the primary liaison for inquiries regarding operations and system updates pertaining to CLS’s case management system.
• Spearhead initiatives aimed at enhancing the speed, reliability, and cost-efficiency of CLS’s technology processes within our legal software (e.g., case management).
• Create, document, and deliver training programs that empower staff to utilize tools and procedures that optimize efficiency.
• Collaborate with Executive Leadership, supervisors, and frontline personnel to analyze current case management, compliance, and grant administration workflows; pinpoint inefficiencies; and redesign processes (including LegalServer 5 flow blocks) to shorten turnaround time, lessen manual efforts, and enhance service delivery.
• Work alongside the Director of Technology and cross-functional stakeholders to configure, test, and implement system improvements that automate routine tasks, bolster data integrity, and streamline case progression.
• Address and resolve operational and system issues promptly; perform root cause analysis and implement preventive measures to minimize recurrence.
• Design and present training sessions, webinars, documentation, and job aids to facilitate staff adoption of optimized workflows and effective use of system tools to enhance productivity and consistency.
• Collaborate with Compliance and Finance to manage the Electronic Time Verification system, ensuring precise time tracking, payroll integration, and compliance-ready reporting for audits and budgeting.
• At least 5+ years of experience as a Legal Server administrator or in comparable case management systems, encompassing workflow configuration, system optimization support, and enhancement of data integrity and reporting functions.
• Practical experience in designing and refining workflow processes, emphasizing the streamlining of case management, compliance tracking, and administrative operations to reduce manual efforts and boost efficiency.
• Comprehensive understanding of grant administration processes, including compliance requirements, funding limitations, reporting timelines, and the establishment of structured workflows to support accurate and timely reporting.
• Proven capability to assess operational processes and convert findings into actionable improvements, performance metrics, and scalable system or workflow enhancements.
• Demonstrated experience in developing and delivering training materials, documentation, and presentations to facilitate staff adoption of new systems, tools, and workflows.
• Detail-oriented and self-motivated professional with a track record of managing multiple priorities, meeting deadlines, and ensuring accuracy in operational and compliance-focused environments.
• Familiarity with or working knowledge of API integrations or system connectivity tools utilized to improve automation and streamline data transfer between platforms.
