This is a fully remote position, open to applicants in California.
• This is an entry-level role that offers secretarial and administrative assistance to legal professionals.
• Demonstrates a solid understanding of legal principles, skills, and administrative capabilities.
• Prepares and files legal documents, motions, pleadings, and related correspondence as instructed.
• Manages attorneys' calendars, schedules court appearances, and coordinates meetings with witnesses and other parties involved.
• Keeps departmental records organized and up to date.
• May provide support to up to three litigation attorneys.
• Drafts letters and legal documents; organizes and prepares documents, including necessary transmittal forms and envelopes, in the correct format.
• Completes typing and word processing tasks for legal documents, including correspondence, pleadings, subpoenas, and other related materials.
• Prepares documents for court filing; ensures quality written communication by correcting and editing documents to verify proper format and detail accuracy.
• Prepares Answers, Cross-Complaints, discovery, and all pleadings as directed by the assigned attorney.
• Maintains transcripts, documents, and evidence; handles files with minimal complexity and typical soft-tissue injury claims with low risk.
• Records claims, legal documents, and case activities meticulously.
• Collaborates with attorneys to facilitate workflow processes.
• Coordinates legal services, including court reporting, copying, and delivery services.
• Ensures that all work is completed and submitted promptly without delays.
• Possesses a comprehensive understanding of court deadlines, Rules of Court, document processing requirements, and all office and court procedures.
• Manages routine correspondence and inquiries with attorneys, clients, adjusters, and courts through both written and verbal communication skills.
• Engages with claims, opposing counsel, and clients regarding legal files.
• Executes daily responsibilities in a logical and efficient manner, completing assignments on time.
• Arranges schedules for court reporters, expert witnesses, and other specialists for depositions and trials.
• Classifies, sorts, and files correspondence, articles, records, and other documentation.
• Operates standard and/or automated office equipment such as word processors, typewriters, transcription software, case management software, and photocopiers.
• Maintains attorney calendars by accurately documenting court dates and appearances as instructed.
• Schedules meetings, depositions, and appointments; assembles documents, reports, and information as required for meetings.
• Organizes necessary meeting spaces and secures conference rooms as needed.
• Notifies participants of meeting dates, times, and locations.
• Resolves calendar conflicts by prioritizing and coordinating rescheduling requests.
• Tracks all deadlines related to appearances and daily job duties and upcoming assignments.
• Schedules internal conferences related to legal files.
• Minimum: High School diploma or GED.
• Preferred: Vocational certification or training in the legal field.
• Minimum: Basic understanding of terminology, discovery processes, pleadings, and civil court deadlines.
• Preferred: 1-2 years of experience in insurance defense or civil litigation.
• Relevant work experience in the legal sector; a combination of education and experience will be considered.
• Minimum: Ability to manage multiple tasks and prioritize assignments; strong organizational skills with attention to detail; capability to follow instructions; typing speed of at least 60 wpm; knowledge of legal terminology and document management (e.g., briefs, summonses, complaints, motions, pleadings, and discovery).
• Effective verbal and written communication skills with a good grasp of grammar, spelling, and punctuation; ability to draft routine pleadings and correspondence; capable of utilizing and processing available resources; detail-oriented; proficient in accurately scheduling and managing conflicts across multiple calendars; proficient in Microsoft Office applications, including Word, Excel, and Outlook.
• Preferred: Understanding of federal and state court rules and e-filing procedures; familiarity with litigation management software; ability to adapt quickly to urgent matters; trial experience.
