This is a fully remote position, open to applicants in United States.
• Professionally manage and respond to multiple incoming phone lines.
• Warmly greet callers and assess how best to assist them.
• Provide accurate information and address general inquiries.
• Accurately direct calls to the appropriate team members or departments.
• Take detailed and precise messages to ensure timely follow-up.
• Oversee and manage shared voicemail boxes.
• Cultivate a solid understanding of the organization's services, departments, and common inquiries to assist callers confidently.
• Maintain professionalism and confidentiality while handling sensitive information.
• Support general administrative tasks, including scheduling, data entry, filing, document management, and other necessary office support.
• Create a welcoming and professional atmosphere for every caller and visitor.
• Preferred 1–2 years of experience as a receptionist, in administration, call centers, or customer service.
• Exceptional verbal and written communication abilities.
• Professional phone etiquette with the capacity to manage a high volume of calls.
• Strong organizational skills and meticulous attention to detail.
• Capability to multitask, prioritize duties, and stay composed under pressure.
• Proficient in Microsoft Office (Outlook, Word, and Excel).
• Familiarity with RingCentral, Slack, and multi-line phone systems is preferred.
• Previous experience in a personal injury law firm is advantageous.
• Ability to quickly adapt to new software, phone systems, and internal processes.
