Legal Operations VA & Systems Specialist – Clio, AI Focus

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Develop, tailor, and oversee comprehensive legal workflows, task lists, and case-stage automations within Clio.

• Create and execute standardized intake pipelines, custom fields, and templates for client portals.

• Draft, review, and organize document assembly templates along with standardized email formats.

• Leverage Claude and ChatGPT to construct prompt libraries, legal templates, and workflows for automated drafting and communication.

• Generate checklists, Standard Operating Procedures, and operational guidelines across various case stages from intake to closing.

• Detect manual bottlenecks and execute technology-driven enhancements to processes.

• Review case files and data structures to ensure compliance with workflows and maintain data integrity.

• Observe firm operations and suggest process improvements as well as new technology integrations.

• Actively serve as a process architect, recommending operational solutions with minimal supervision.

⛳️ Requirements

• Previous experience in roles such as Paralegal, Legal Assistant, Legal Operations Specialist, or Law Clerk.

• Strong understanding of legal case lifecycles.

• Direct experience in configuring and managing Clio Manage/Grow.

• Proven ability to create automated workflows, task sets, and document templates within Clio.

• Practical experience utilizing Claude and ChatGPT for designing processes, generating documents, and automating administrative workflows.

• Excellent skills in process mapping.

• Capability to deconstruct complex legal procedures into step-by-step checklists and automated pipelines.

• High level of independence and initiative in problem-solving.

• Proficient at identifying inefficiencies and constructing systems with minimal oversight.
